Agents’ Assistant - Talent Agency
Emptage Hallett Talent Agency are looking for a positive, professional individual, who is interested in working in the media and arts industry, to take on the role of Agents’ Assistant. They should be a pro-active and natural multi-tasker, with a warm and open approach to become the first point of contact for clients and industry professionals. General duties include but are not limited to:
- Answering, transferring and responding to telephone calls and emails
- Distributing correspondence and messages to the appropriate team member
- Greeting guests and visitors to the office
- Updating photos/media on company websites/Spotlight
- Social media: Updating website, scheduling social media posts
- Logging, filing and responding to representation requests
- General administrative duties as required by the agency
- Providing assistance to the Agents
- Confirming receipt of availability checks, self-tape requests and auditions from Casting Directors
- Sending availability checks, self-tape requests and audition information to the relevant agency’s clients
- Confirming receipt of self-tapes from actors and sharing with appropriate agents
- Editing, labelling and sharing completed self-tapes with Casting Directors
- Logging daily activities and providing rolling notes of ongoing projects and tasks at the end of each day
- Managing and updating shared office calendar
- Managing correspondence with drama schools and arranging tickets for productions for Agents
- Taking responsibility for the on-boarding / off-boarding process for actors joining and leaving the agency
- Managing and maintaining the office’s online filing systems for each of the actors
Skills & Abilities – Essential
- Excellent vocal and written communication skills – this role is the first point of contact
- Ability to work under and report to multiple managers
- Strong attention to detail and a high level of accuracy
- Excellent organisational and multi-tasking skills
- Ability to work on own initiative and prioritise workload
- Ability to work under pressure/to deadlines
- The ability to manage own time and work autonomously
- The ability to deal with people at all levels, in an efficient, polite and helpful way
- Pro-active/positive attitude
- Ability to maintain confidentiality
- Strong IT Skills, in particular Microsoft Word, Excel, Outlook, Dropbox and Twitter
- An interest in the media and arts industry
Skills & Abilities – Desirable
- Knowledge of cloud-based systems
Experience & Knowledge – Essential
- Previous receptionist/administrative experience
- Knowledge of administrative systems
- Experience of using social media, especially Twitter and Instagram
Qualifications & Training – Essential
- GCSE English Literature or Language and Maths, grade C or above (or equivalent)
- Further academic qualifications such as A Level or equivalent Vocational Qualification
Qualifications & Training – Desirable
- University Graduate
- A background/experience in the arts industry or relevant training
Hours
This is a full-time office-based position in Central Cardiff. Working hours are 9.45am – 6.00pm Monday to Friday.
Occasional theatre/event visits in the evening may also be required.
Salary
£18,000 - £20,000 annual salary, dependent on experience.
