Agents’ Assistant - Talent Agency

Emptage Hallett Talent Agency are looking for a positive, professional individual, who is interested in working in the media and arts industry, to take on the role of Agents’ Assistant. They should be a pro-active and natural multi-tasker, with a warm and open approach to become the first point of contact for clients and industry professionals.

General duties include but are not limited to:

  • Daily setup of the office
  • Answering and responding to telephone calls and emails
  • Taking and distributing messages
  • Greeting guests and visitors
  • Updating clients’ Spotlight, CVs and biogs
  • Updating photos/showreels on company website/Spotlight
  • Social media: Updating website, scheduling tweets
  • Ordering theatre and event tickets/booking transport and accommodation/emailing confirmations
  • Keeping spreadsheets/databases updated
  • Scanning, photocopying, printing, filing
  • Purchasing office supplies and stationery
  • Dealing with all IT issues, liaising with external IT support
  • Replying to representation requests
  • General administrative duties
  • Maintaining a clean and tidy office

Skills & Abilities – Essential

  • Excellent vocal and written communication skills
  • Strong attention to detail and a high level of accuracy
  • Excellent organisational and multi-tasking skills
  • Ability to work on own initiative and prioritise work load
  • Ability to work under pressure/to deadlines
  • The ability to manage own time and work autonomously
  • The ability to deal with people at all levels, in an efficient, polite and helpful way
  • Pro-active/positive attitude
  • Ability to maintain confidentiality
  • Strong IT Skills, in particular Microsoft Word, Excel, Outlook, Dropbox and Twitter
  • An interest in the media and arts industry

Experience & Knowledge – Essential

  • Previous receptionist/administrative experience
  • Knowledge of administrative systems
  • Experience of using social media, especially Twitter

Qualifications & Training – Essential

  • GCSE English Literature or Language and Maths, grade C or above (or equivalent)
  • Further academic qualifications such as A Level or equivalent Vocational Qualification

Qualifications & Training – Desirable

  • University Graduate
  • A background/experience in the arts industry or relevant training

Hours

This is a full time position. Working hours are 9.45am – 6pm Monday to Friday.

Occasional theatre visits in the evening may also be required.
