Clwb Ifor Bach is an established grassroots music venue, promoter and charity located in  centre of Cardiff and has been a home for new and emerging music for over 40 years. We are Cardiff’s longest running nightclub and one of the Wales’s leading independent promoters, programming live music and club events across the country as well as delivering Sŵn Festival,  an inner-city multi-venue music festival. In April 2021, we also launched Clwb Music, an independent music management strategy with the aim of developing and collaborating with artists from Wales.

We are currently looking for a Box Office Co-ordinator to join our team. Your primary focus will be to both manage and develop our ticketing strategy across all events, both at the venue and elsewhere across Wales. Working within our in-house event team the ideal candidate will have had previous box office or ticketing experience and have a keen eye for detail.

Responsibilities include managing ticket allocations across all events, managing and updating our website and digital newsletters, preparing event day ticketing lists, be our point of contact for any customer related enquiries and any other relevant work determined by the Head of Music from time to time. Although the post is primarily office based regular attendance at events our is encouraged.

Key Responsibilities


Box Office

  • Oversee the setup and administration of all ticketing events (live, clubnights and festivals)
  • Serve as the primary contact for ticketing inquiries from external partners, managing relationships with ticketing companies, agent and promoters.
  • Handle all ticketing related issues; e.g. customer inquiries, guest lists, carer tickets, refunds, complaints and any other matters that may arise.
  • Oversee ticket allocation and ensure that all outlets have an active allocation through the sales period.
  • Work with the wider team to monitor sales trends and produce post-show sales analysis to support business and marketing.
  • Keep up to date with current trends to ensure best practice in ticketing operations including GDPR.

Website / Newsletters

  • Ensure all events are updated to the website on time and all relevant links are active in line with show announcement. 
  • Create all newsletters used to promote our live programme
  • Develop strategies to maximise sales through closer integration across website, newsletter and primary ticketing platform.

Other

  • Manage general and access email accounts
  • Update show event documents to ensure correct information supplied by duty managers and event reps on the day of the show.

Experience


Essential 

  • Previous administrative experience 
  • Strong numeracy skills and confident working across multiple spreadsheets,
  • Good organisational skills, the ability to work under pressure and able to manage a varied workload in a fast paced work environment
  • Computer literate, confident and proficient with Excel and Word (or the Mac equivalent) 
  • Self-motivated, punctual, reliable, able to maintain confidentiality 
  • Excellent written and spoken communication skills
  • Commitment to equal opportunities policies and practices, and the promotion of equality and diversity 

Desirable

  • Written and spoken Welsh
  • Previous experience of working in a similar role within the creative industries.
  • Experience in using Mailchimp or alternative newsletter platforms
  • Keen interest in contemporary music, festivals and events
